Map the workflow first

Write down the steps from a customer’s first interaction to delivery and support. Identify where information moves between people and where repeated manual work creates delays. A list of tasks gives you a better starting point than a list of software brands.

Choose a system of record

Decide where each important type of information belongs. Customer records, project tasks and financial records may live in different systems, but each should have a clear owner. Avoid asking the team to maintain the same information manually in multiple places.

Make requirements testable

Replace “easy to use” with a task you can evaluate: can a new team member create an account, find the right customer and complete a routine workflow? Identify required integrations, export formats and permission controls before comparing products.

Compare the whole cost

Account for seats, minimum commitments, usage limits and any add-ons required by your workflow. Keep annual commitments visible even when a pricing page presents a monthly equivalent. A cheaper starting price does not establish a lower total cost.

Trial one real workflow

Use a small, representative workflow during evaluation. Record what worked, what needed a workaround and what remained unknown. Prefer a manageable rollout with a clear owner and an exit plan.
